Professional Qualifications:
Education: Associate’s degree in healthcare administration, nursing, or a related field (Bachelor’s preferred) or equivalent experience in a supervisory healthcare role.
Certification: Active certification as a Certified Medical Assistant, Registered Medical Assistant, or Licensed Practical Nurse, with an additional certification in healthcare management or supervision (preferred). Current certification in Basic Life Support
Experience: 3+ years of experience as a Clinical Assistant, LPN or similar role, with at least 1 year in a leadership or supervisory capacity in a healthcare setting.
Advanced Skills: Proficiency in conflict resolution, team management, and developing patient care strategies. Strong understanding of healthcare regulations, HIPAA compliance, and clinic operations.
Technology: Advanced proficiency in EMR systems, Microsoft Office Suite, and other healthcare management software.
Communication: Excellent communication skills, both written and verbal.
Preferred Qualifications:
Experience with or interest in working with the mental health community
Prior experience operating within a private practice/outpatient setting
Position Specifics:
- Location: Greenville Office (149 Commons Way, Greenville, SC 29611)
- Schedule: Monday-Thursday, 7:30AM-4:30 PM; Friday, 7:30AM-1:00PM
- Core responsibilities: The clinical assistant team lead role is a mixture of administrative tasks with a heavy focus in clinical care coordination and supervision, fulfilling various requirements in these categories:
- Patient Care & Clinical Oversight:
- Clinical Supervision: Oversee daily clinical activities of Clinical Assistants, providing guidance on patient care protocols, medication administration, and documentation practices to ensure adherence to quality standards and compliance with policies.
- Escalation Point: Act as the primary point of contact for complex patient issues and medication-related queries, working with providers to resolve escalated cases and ensure timely, accurate responses.
- Scheduling & Staffing: Coordinate shift schedules and assign responsibilities to ensure adequate coverage. Approve time-off requests within the team and adjust staffing as needed to maintain seamless operations.
- Inventory Oversight: Ensure that necessary clinical supplies, sample medications, and equipment are readily available, placing orders as needed.
- Hazardous Waste Disposal: Facilitate disposal of hazardous waste through our designated vendor as needed at each clinic location.
- Leadership & Development:
- Training & Education: Conduct training sessions on clinical procedures, use of EMR systems, and safety protocols for new Clinical Assistants. Provide ongoing education and refresher training as needed.
- Performance Monitoring: Conduct regular one-on-one meetings with team members to review performance, address challenges, and set goals. Perform annual evaluations in partnership with the Director of Operations.
- Team Development: Foster a supportive team culture, encouraging collaboration and professional development. Identify team members’ strengths and areas for growth, recommending training or additional responsibilities to support career advancement.
- Policy Updates & Implementation: Communicate any updates to clinical policies and procedures from management to the team. Assist in implementing changes and ensure that all Clinical Assistants are trained in new protocols.
- Continuous Improvement: Identify opportunities for process improvements in patient care, clinical workflows, and team efficiency. Collaborate with the Director of Operations to implement changes that enhance productivity and patient satisfaction.
- Quality Assurance:
- Documentation & Recordkeeping Oversight: Supervise the documentation processes to ensure consistency and accuracy across the team. Regularly audit patient interaction records, sample medication logs, and EMR entries to maintain compliance.
- Policy Compliance: Ensure compliance with storage, hazardous waste disposal, and other facility policies. Conduct periodic audits to confirm proper handling and storage of medications and specialty orders.
- Work proactively to maintain a safe, well-stocked clinical environment.
- Patient Care Backup:
- Document all patient interactions in the appropriate location as directed by policy.
- File all sample medication logs in the appropriate location.
- Administer UDS as directed by policy and ordered by providers.
- Collect vitals on patients as directed by policy and ordered by providers.
- Administer or distribute pharmacogenomic tests to patients as ordered by providers.
- Administer medication samples to patients as ordered by providers, ensuring proper documentation.
- Act as point of contact via office phone line for patient medication requests or questions, coordinating with providers to handle in a timely manner as directed by policy.
- Act as office point of contact during pharmacy shortages.
- Coordinate with others on the internal patient care team to handle patient care needs.
- Verify patient insurance information.
- Collect copays and other monies owed by patients.
- Other duties as assigned by management.
- Patient Care & Clinical Oversight:
Compensation Package:
- Competitive Pay -- $22-$25 per hour
- Sign-On Bonus -- $1,000 (after 90 days of hire)
- Paid Time Off (PTO) – 10 days (80 hours) plus one (1) day for each full year of employment at iTrust for a possible maximum of 15 days (120 hours).
- Paid Company Holidays – 5 days (Memorial Day, Independence Day, Labor Day, Thanksgiving Day, Friday after Thanksgiving)
- Paid End-of-Year Break (Dec. 24-Jan. 1) – office-wide closure for the holidays to rest and recuperate.
